The Opportunity
Based at our Campbellfield branch we are seeking a Reception Administrator who will be the first point of contact for visitors, clients, and callers, creating a welcoming and professional environment. Reporting to the Administration Lead, this role is responsible for handling front desk operations, including greeting visitors, answering and directing phone calls, managing scheduling, and performing various administrative tasks.
Key Responsibilities
- Provide a high level of customer service by answering & directing calls, welcoming visitors & assisting with their site inductions.
- Assist with contract maintenance, by loading relevant data into our Equipment care system.
- Assist with warranty cases and support the team with resolution of all customer enquiries.
- Assist with payroll duties when required.
- Complete staff expense claims.
- Raise purchase orders and manage goods receipt.
- Order employee uniforms, PPE, first aid, office supplies, staff amenities and merchandise as directed.
- Obtain and update registers for certificate of currency documents for suppliers and contractors.
- Assist with setting up of new vendors.
- Co-ordinate travel arrangements for staff.
- Receive daily mail and distribute accordingly.
- Book necessary training for all staff.
- Monthly & Adhoc catering requests as required.
- Replenish & Maintain kitchen consumables.
- Maintain customer site induction, Workmetrics.
- Maintain branch registers & technician site inductions.
- Provide administrative support to managers & various departments as required.
What we are looking for
- 12 to 24 months experience in a reception, administration, or customer-facing support role.
- The ability to work on site in a full-time reception-based role.
- Confident verbal communication skills, with the ability to handle phone and face-to-face interactions professionally.
- Solid Microsoft Office Skills (Excel, Word, Outlook, MS Teams).
- Competency in computer skills, preferably in SAP & Dynamics
- High level time management skills with ability to manage competing priorities.
- Attention to detail and commitment to accuracy.
- Strong written and oral communication skills, liaising with management, staff and customers.
- Ability to work autonomously.
- A reliable, team-oriented attitude and willingness to support others across the branch.
- Reliable personal transport will be important due to the branch location and limited access to public transport.
