Some information you choose to provide may be sensitive information under privacy laws, such as information about Indigenous status, health, safety history, union membership, government identifiers, criminal history, or other details that may appear in a resume or application material. You should only provide sensitive information where it is relevant and you are comfortable with us processing it to provide the Service.

Communications and Support Information
If you contact us, respond to emails, request support, request a refund, cancel, provide feedback, submit a testimonial, or raise a payment dispute, we may collect your messages, email metadata, support history, screenshots, files, evidence, and other information needed to respond.

5. AI Processing
The Service uses AI providers, including OpenAI and related AI infrastructure, to provide document generation, document review, resume parsing, resume scoring, profile enrichment, job-description analysis, and related AI features.
When you use AI features, we may send relevant prompt data, resume content, cover letter content, profile information, job descriptions, application kit data, and generated outputs to AI providers so they can process your request and return a result. We aim to send only the information reasonably needed to provide the feature.
AI providers may process information on servers outside Australia. Their processing is governed by their own security, privacy, and data-processing terms. You should avoid uploading unnecessary sensitive information, payment card data, bank details, government identifiers, passwords, or information you do not want processed by AI systems.
We may use AI-related logs and telemetry to debug failures, improve reliability, detect abuse, and understand feature performance. Where practical, we use aggregated, de-identified, or privacy-protective forms for analytics and improvement.
6. Cookies, Pixels, Analytics and Advertising
We use cookies, pixels, local storage, and similar technologies to operate the Service, keep you signed in, remember preferences, measure usage, debug problems, prevent abuse, and measure marketing performance.
The tools we use may include:
- PostHog for product analytics, event tracking, feature usage, funnel analysis, server-side analytics, AI tracing, and session recording.
- Meta Pixel for conversion tracking, advertising measurement, and audience-related marketing functions.
- Google Tag Manager to manage marketing and analytics tags.
- Vercel Speed Insights to measure performance and reliability.
- Supabase logs and authentication records for account, security, and operational monitoring.
You can control some cookies and tracking through your browser settings, device settings, and advertising preferences. Blocking cookies or scripts may affect the availability or functionality of parts of the Service.
We do not sell personal information for money. Some privacy laws treat targeted advertising, pixels, or analytics sharing as a "sale" or "sharing" of personal information. Where those laws apply, you may contact us at work@resourcejobs.au to ask about available opt-out options.
7. Marketing Communications
We may send you product updates, job alerts, onboarding messages, educational content, offers, or marketing communications where permitted by law or where you have opted in.
You can unsubscribe from marketing emails using the unsubscribe link in the email or by contacting work@resourcejobs.au. We may still send transactional or service-related messages, such as account, security, billing, subscription, support, or legal notices.
8. When We Share Personal Information
We share personal information only where reasonably necessary for the purposes described in this Privacy Policy, where you direct us to, where required by law, or where needed to protect our rights and the Service.

9. Payment Disputes, Refunds and Chargebacks
If you request a refund, raise a billing issue, initiate a chargeback, dispute a card payment, claim a payment was unauthorised, or otherwise challenge a transaction, we may use and disclose information needed to investigate and respond.
This may include account identifiers, login records, one-time password events, checkout records, invoices, subscription status, cancellation history, refund history, communications, IP address, device information, analytics events, uploaded resumes, generated documents, AI generation history, application kit activity, download records, support records, and other information relevant to whether a charge was authorised or whether the Service was delivered or used.
We may share that information with Stripe, payment processors, banks, card networks, fraud-prevention providers, professional advisers, regulators, dispute-resolution bodies, or other parties involved in the dispute.
10. Third-Party Websites and Employer Platforms
The Service may link to employer websites, job boards, applicant tracking systems, social platforms, payment pages, and other third-party services. We are not responsible for the privacy practices, content, decisions, or security of third-party services.
If you click a third-party link or submit information to an employer, job board, or external application portal, that third party may collect and process your information under its own terms and privacy policy.
11. Data Retention
We retain personal information for as long as reasonably necessary to provide the Service, maintain business records, comply with legal obligations, resolve disputes, enforce our agreements, prevent fraud, respond to chargebacks, and protect the Service.

- Account and profile information is generally retained while your account remains active.

- Subscription, invoice, refund, tax, accounting, and payment dispute records may be retained for longer periods where required for business, legal, financial, or dispute-resolution reasons.
- Analytics, security, and operational logs may be retained for a reasonable period for debugging, security, fraud prevention, product improvement, and legal protection.
- Backups may retain deleted information for a limited period until normal backup cycles overwrite or delete it.
If you request deletion, we will take reasonable steps to delete or de-identify personal information unless we need to retain it for legal, security, fraud-prevention, accounting, dispute-resolution, or legitimate business reasons.
12. Security
We use reasonable administrative, technical, and organisational safeguards to protect personal information. These may include access controls, authentication, encryption in transit, provider security controls, logging, monitoring, and internal access restrictions.
No online service, storage system, AI provider, payment processor, or transmission method is completely secure. You are responsible for keeping your account email, device, and login method secure and for notifying us if you believe your account has been compromised.
13. International Transfers
Some of our service providers, systems, staff, contractors, or infrastructure may be located outside Australia. This means personal information may be transferred to, stored in, or accessed from countries with privacy laws that differ from Australian law.
Where we use overseas providers, we take reasonable steps to use reputable providers and rely on contractual, technical, and organisational safeguards appropriate to the service being provided.
14. Your Rights and Choices
Depending on your location and applicable law, you may have rights to access, correct, update, delete, restrict, object to, or request a copy of personal information we hold about you.
You can update some account information directly in the Service. You can also contact work@resourcejobs.au to make a privacy request.
We may need to verify your identity before acting on a request. We may refuse or limit a request where permitted by law, including where information must be retained for legal, security, fraud-prevention, dispute-resolution, or accounting reasons.
If you are in Australia and are not satisfied with how we handle your privacy concern, you may contact us first so we can try to resolve it. You may also be able to complain to the Office of the Australian Information Commissioner.
15. Children and Minors
The Service is not directed to children. If you are under 18, you should use the Service only with permission and supervision from a parent or guardian.
We do not knowingly collect personal information from children under 13. If you believe a child has provided personal information to us, contact work@resourcejobs.au and we will take reasonable steps to delete it.
16. Public Reviews, Testimonials and Feedback
If you provide a public review, testimonial, comment, rating, or feedback, we may use it for product improvement, support, marketing, and promotional purposes. We will not publicly use identifiable private resumes, cover letters, profile details, application materials, or personal job-search documents without your explicit consent.
We may use anonymised, aggregated, or de-identified examples, statistics, or insights where they do not reasonably identify you.
17. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. We will post the updated version on this page and update the "Last Updated" date. Where required by law, we will provide additional notice or seek consent.
Your continued use of the Service after an updated Privacy Policy is posted means you acknowledge the updated policy.
