About the Role
Central CBD Location with potential for site travel
The Administrator Shutdown Coordination and Logistics plays a critical tactical role within the Shutdown Planning and Scheduling team, ensuring every shutdown is executed with precision, control and seamless support. As the central point for resource coordination, logistics and commercial administration, this role underpins workforce productivity by ensuring all external labour, services and movements are confirmed, compliant and ready when required.
Working closely with Shutdown Planners and Senior Shutdown Planners, and reporting to the Supervisor – Shutdowns, the position provides disciplined administrative and logistical support across the full shutdown lifecycle. This includes managing confirmations, controlling costs, maintaining accurate transactional records and ensuring all planning inputs are delivered on time to enable safe, efficient and well‑executed shutdown events.

What You’ll Do
- Coordinate confirmation of external contractors and service providers, ensuring mobilisation requirements and shutdown schedules are fully aligned.
- Manage flights, accommodation, site access and all mobilisation logistics to ensure shutdown personnel are ready and available when required.
- Raise Purchase Orders, process invoices, resolve discrepancies and support accurate shutdown cost tracking and close‑out.
- Process contractor timesheets, verify hours against approved scopes and maintain accurate records of vendor engagement, logistics and commercial documentation.
- Provide reliable administrative support to shutdown planning and execution, ensuring compliant processes and enabling efficient workforce productivity.
What You’ll Bring
- Recognised trade qualification or relevant technical/tertiary qualification with a manual driver’s licence.
- Experience in administrative or coordination roles within industrial or resources environments, with understanding of contractor engagement and procurement processes.
- Working knowledge of ERP systems (ideally SAP), asset registers, maintenance data structures and compliance requirements for contractor and vehicle governance.
- Strong commitment to safe work practices, supported by effective communication, responsibility, relationship‑building skills and a growth mindset.
