The role
Ahrens is looking for a Property Administrator to join Group Support Service in either our Kent Town or Kingsford office.
The Property Administrator will keep our leased and owned property portfolio running smoothly. You'll own lease administration, make sure outgoings are fully recovered, and coordinate tenants, maintenance and compliance. You'll report to the Executive General Manager – Finance.
What you'll do:
- Set up new leases so rent, outgoings and critical dates are right from day one
- Review leases and run annual outgoings reconciliations across leased and owned properties
- Prepare lease approvals and renewals for industrial, commercial and residential properties
- Maintain the critical dates register (expiries, options, rent reviews, make-goods)
- Coordinate rent reviews and manage rental bonds
- Be the go-to contact for tenants, including maintenance requests
- Invoice tenants and follow up debts
- Arrange employee accommodation in Group-owned houses, including invoicing and payroll deductions
- Review and approve property invoices, and manage council rates and land tax schedules
- Coordinate large market energy contracts and prepare regular property reporting
- Assist with ESG reporting
- Coordinate repairs, maintenance, building inspections and compliance, including solar systems and security key fobs for SA sites
- Conduct property inspections and prepare entry condition reports
- Coordinate property sales, purchases and applications
- Keep property records tidy in SharePoint and Skytrust (QHSE system)
What you'll bring:
- 2+ years' experience in property administration or property management (commercial or industrial preferred)
- Working knowledge of commercial lease structures and outgoings recovery
- Strong numeracy: invoicing, reconciliations and account coding
- Excellent organisation and the ability to juggle competing priorities
- Excellent written and verbal communication, with confidence dealing with tenants, contractors and internal teams
- Superior attention to detail
- Advanced Microsoft skills (especially Excel), plus SharePoint and financial applications
- Current driver's licence and willingness to travel to sites for inspections
- A self-motivated, results-driven approach
Nice to have:
- Experience preparing outgoings budgets and reconciliations
- Exposure to facilities management, energy contracts or QHSE systems like Skytrust
