About the Role
UGL’s Victorian Utilities Operations & Maintenance business operates within the Electrical Supply Industry, supporting the maintenance of power distribution networks across Victoria.
We are seeking an experienced Project Administrator to join our team on a 16-month maternity leave contract. Commencing in December 2026, you’ll benefit from a comprehensive handover before taking ownership of this varied role supporting our Victorian operations.
Based at our Tullamarine depot, you’ll provide professional coordination, administration and documentation support to the operational team. The role brings together procurement, invoicing, timesheets and payroll support, reporting, compliance, office administration and the coordination of critical workforce training requirements.
What you’ll be doing
- Coordinate procurement activities, including material requisitions, purchase orders and onboarding suppliers and subcontractors.
- Support supplier and subcontractor invoicing, monthly claims and the integrity of financial data in SAP.
- Coordinate timesheet processes, including data entry, following up outstanding timesheets and supporting payroll deadlines.
- Assist with monthly internal and external reporting, documentation, correspondence, meeting minutes and day-to-day office administration.
- Coordinate employee training and compliance requirements, including Pegasus / ESI Worker updates, VESI / ESI training requirements, gap analysis and refresher training.
About You
We’re looking for an organised, proactive Project Administrator who can confidently work across competing priorities and build effective relationships with people at all levels.
Ideally, you’ll bring:
- Experience in a Project Administrator or related position within an engineering or construction management environment.
- Strong Microsoft Office skills and experience using SAP.
- Excellent written and verbal communication skills and the ability to build effective internal and external working relationships.
- The ability to independently organise and prioritise multiple tasks, meet deadlines and operate effectively in a fast-paced environment.
- A proactive, customer-focused and team-oriented approach with a positive attitude towards safety and continuous improvement.
