Job Description

Reporting to the Operations Support Admin Supervisor, the OperationsSupport Administrator will join our Centralised Support Team on a full-time basis at our South Guildford Branch with potential periods of coverage across our regional branches.

This role plays a key part in supporting regional operations through the delivery of high-quality administrative services, coordination of business processes, and stakeholder support across multiple teams. We're seeking a proactive and organised individual with strong attention to detail, excellent communication skills, and a passion for delivering exceptional internal customer service.

Roster: Monday to Friday, 8.5 hours per day (including unpaid meal break)
Location: South Guildford

What You'll Do:

  • Provide high-quality administrative support to regional operational teams.
  • Coordinate and process purchase requisitions, invoices, and related documentation.
  • Maintain accurate records, reports, and business documentation.
  • Support training administration, compliance tracking, and employee records management.
  • Assist with data entry, reporting, and information management across multiple systems.
  • Coordinate meetings, communications, and administrative activities to support operational objectives.
  • Ensure documentation is maintained in accordance with WesTrac policies and procedures.
  • Build and maintain positive working relationships with internal stakeholders across the business.
  • Contribute to continuous improvement initiatives that enhance administrative efficiency and service delivery.

Skills & Experience:

  • Previous experience in an administrative, coordination, or business support role.
  • Certificate, Diploma, or relevant administrative qualification highly regarded.
  • Strong computer literacy across Microsoft Office applications and business systems.
  • High level of accuracy and attention to detail.
  • Excellent written and verbal communication skills.
  • Strong organisational and time management skills with the ability to manage competing priorities.
  • Customer-focused approach with a commitment to delivering quality service.
  • Ability to work collaboratively within a centralised team environment.
  • Adaptable and proactive mindset with strong problem-solving capabilities.
