About the Role

Reporting to the Health and Safety Administration Supervisor, you'll be responsible for helping ensure our employees, contractors and visitors meet the necessary compliance requirements before mobilising to site. You will manage a high volume of profiles through Sitepass (INX/Quartex), reviewing documentation and ensuring everything is complete, accurate and compliant. You will also support a range of H&S systems and processes, giving you the opportunity to work across more than just traditional administration. This position is based on an 8/6 roster and an 11-hour working day Wednesday to Wednesday.

Key Responsibilities

• Review and manage high volumes of employee, contractor and visitor profiles in Sitepass to ensure pre-mobilisation requirements are complete and compliant.
• Review pre-employment medicals against Ramelius requirements and submit them to the occupational physician portal.
• Validate drug and alcohol screens, police clearances, driver's licences and other compliance documentation.
• Troubleshoot onboarding and mobilisation issues through to completion of site inductions.
• Prepare weekly non-compliance reports and work with sites to close out outstanding requirements.
• Manage Partly Cloudy and the Journey Management System (JMS), including account administration, system auditing and traveller escalation.
• Liaise with Site Senior Executives and site teams to obtain approvals and resolve compliance issues.
• Raise purchase orders in Pronto or equivalent systems as required
• Support document control and other H&S administration activities as required.

About You

You’re someone who genuinely enjoys keeping things organised, accurate and moving in a fast-paced environment. You’ll be comfortable managing competing priorities, working through high volumes of information and following up on the detail to make sure nothing gets missed. Just as importantly, you’ll enjoy working with people bringing a collaborative, team-first attitude to everything you do.

To thrive in this role, you'll need:

• Strong attention to detail and a genuine focus on accuracy.
• Proficiency in Microsoft Office, particularly Outlook, Excel, Word and Teams.
• Experience in pre-mobilisation, site administration, mobilisation or compliance administration is highly regarded.
• Experience with INX, Sitepass, Quartex or similar compliance/mobilisation systems is advantageous.
• Mining or resources industry experience is desirable.
• A current driver's licence.
• The ability to obtain a National Police Clearance for site access purposes.
• A Certificate IV in Work Health & Safety, Pronto experience or document control experience would also be highly regarded**.
