About the role
To define, arrange and then publish all team travel, logistics and factory event co-ordination activities and plans. Attend events as and when required (Test / PR / on occasion Race) and carry out team administrational duties as required.
What you will do
- In collaboration with Team Management / Engineering departments as necessary, define and publish all team and driver travel logistics, including flights, hotels, transport, and visas, whilst tracking expenditure.
- Carry out test facility and support-service booking for all testing activities, from catering and dry ice arrangements, to booking track tests, rig tests and FIA visits etc.
- Ensure itineraries are published promptly for all team events.
- Own the logistical processes for the Test Team (liaise with logistics suppliers for transport, assist in the writing of Carnet lists, commercial invoices, publish packing list deadlines etc)
- Attend Test / PR / Race (occasionally) events when required, whilst being based at the factory daily when not on event.
- Support the Test Team when trackside in day-to-day admin, including but not limited to communicating team movement schedules, ensuring start times are adhered to, track liaison, organisation of personnel movements and airport collections.
- When trackside, assist in the build-up and pack down of the garage environment and carry out any general garage infrastructure related tasks as needed.
- Own test team driver kit organisation. Suits, helmets, radio kits (driver kit ownership) – might include liaison with JLR commercial and or race personnel as required.
- Arrange internal factory race watch events, scheduling responsible person / first aid / fire warden cover as defined by HSE.
- Be the liaison between JLR and FZ on operational needs as required by the team, (Clothing organisation, team building events, JLR staff attendance to site etc).
- Contribute to upholding a high standard of garage and team presentation at all events.
- Maintain team personal data – in line with the General Data Protection Regs
- Assist in Identifying ways to improve the department and personnel performance.
- Build and maintain positive relationships with all other factory departments and company personnel.
- To be able to work under their own initiative when necessary.
- To have a ‘can do’, proactive attitude day in day out and actively support others to compete their tasks.
- Complete tasks within agreed time frames.
- On occasion, work outside of ‘normal’ hours.
- To follow and actively enforce the company’s Health and Safety policy.
About you
- Excellent communication skills, written and verbal.
- A good working knowledge of booking flights using a global distribution system is preferable.
- Ability to liaise with all levels of seniority and providing a professional service to any employee who needs travel assistance.
- Ability to work at pace with high levels of volume.
- Team Player.
- Confident with Microsoft Office suite (Excel / OneNote / Word)
- Full UK driving license
