An exciting opportunity exists for an organised and proactive Site Administrator to join our team at the Hunter Valley Maintenance Centre and provide essential support to our maintenance operations
About Your Role
Reporting to the Area Business Manager, you will be responsible for providing day-to-day administrative support to the operations team, ensuring efficient site administration and contributing to the smooth running of the maintenance facility. This role is ideal for someone who thrives in a fast-paced environment, enjoys variety in their work, and takes pride in delivering exceptional support to stakeholders across the business.
Key Responsibilities
- Provide administrative support to site leadership and operational teams
- Maintain maintenance records, work orders, asset movement and service documentation
- Support onboarding activities for new employees and contractors.
- Assist with invoicing and financial administration activities.
- Provide payroll support including timesheet entry, leave administration and roster updates.
- Coordinate travel, accommodation and site logistics.
- Raise purchase orders, organise PPE and maintain training records
- Prepare reports and support compliance and record-keeping requirements
- Assist with site projects and continuous improvement initiatives as required
About You
You are highly organised, detail-oriented and enjoy supporting busy operational teams. You can manage multiple priorities, build strong working relationships and maintain accuracy in a fast-moving environment.
- Previous experience in an administration, site support or coordination role
- Experience using SAP or a similar ERP system
- Strong Microsoft Office skills, particularly Word, Excel and Outlook
- Excellent communication and stakeholder engagement skills
- Strong organisational and time-management abilities
- A proactive and customer-focused approach
- Experience within rail, transport, mining, manufacturing, defence or another safety-critical industry will be highly regarded.
