About the Role

Role: Project Secretary/ HR Administrator
Duration: 12 Months Fixed Term
Location: Perth CBD

We are seeking an experienced and highly organised Project Secretary / HR Administrator to support the UGL Altrad Services Joint Venture (UAJV) Karratha Gas Plant (KGP) Life Extension Project.

Reporting to the Senior Project Manager, this role provides critical administrative support to the project team while partnering closely with the Senior Employee Relations Advisor to deliver project HR administration support. This is a project-based position operating on a 45-hour work week. The role presents the opportunity to work within a major resources project and contribute to the successful delivery of a significant asset life extension program.

Key Responsibilities

  • Provide administrative support to the Senior Project Manager and project leadership team.
  • Coordinate meetings, prepare agendas, record minutes, and track actions.
  • Arrange travel, accommodation, and project logistics for personnel.
  • Coordinate onboarding requirements including IT access, workspaces, inductions, and project set-up.
  • Process expense claims and maintain project administration records.
  • Prepare and coordinate weekly and monthly project reports.
  • Maintain employee files, HR records, and workforce compliance documentation.
  • Support recruitment activities, onboarding and offboarding processes.
  • Assist with workforce systems, including MyPass administration and medical compliance tracking.
  • Respond to employee enquiries and provide general HR administration support.
  • Support employee engagement initiatives, organisational development programs, and workforce events.

About You

To be successful, you will have:

  • 5+ years' experience in a project administration, executive assistant, office administration, or similar role.
  • Exposure to HR administration.
  • Advanced Microsoft Office skills, including Word, Excel, Outlook, and PowerPoint.
  • Strong organisational skills and the ability to effectively manage competing priorities.
  • Exceptional attention to detail and a commitment to maintaining accurate records.
  • A high level of professionalism and confidentiality.
  • Strong communication and stakeholder management skills.
  • The ability to work independently and collaboratively within a dynamic project environment.
  • Qualifications in Human Resources, Business Administration, or a related discipline will be highly regarded.
  • Previous experience within resources, energy, construction, engineering, maintenance, or major projects will be advantageous.
