Job Description
About the Role
Project Administration & Coordination
- Provide day-to-day administrative support to the Project Management Team.
- Coordinate project administration activities including mobilisation, demobilisation, travel, accommodation and workforce logistics.
- Maintain accurate project records, databases and administrative systems.
- Prepare and distribute project reports, documentation and correspondence.
- Support project reporting requirements and site progress tracking.
Workforce & Logistics Management
- Maintain site personnel rosters and workforce tracking records.
- Coordinate travel arrangements and accommodation bookings for project personnel.
- Monitor personnel movements and remote area workforce logistics.
- Assist with onboarding and mobilisation requirements for site personnel.
Permit & Compliance Management
- Act as the primary liaison with IOC regarding Permit-to-Work requirements.
- Coordinate permit applications and approval processes.
- Ensure approved permits are distributed to field personnel.
- Support compliance with project management plans, procedures and governance requirements.
- Assist with DBYD requirements and associated documentation.
Project Team Support
- Provide administrative support to the Project Manager, Construction Manager, Supervisors and Safety Advisor.
- Assist with project coordination activities to support successful delivery outcomes.
- Undertake additional administrative duties as required.
What you'll need to succeed
- Demonstrated commitment to safety and a strong safety-first mindset.
- Previous experience in project administration within construction, infrastructure, energy, mining, oil & gas or similar industries.
- Experience working in remote site environments.
- Ability and willingness to work on a 21:7 FIFO/DIDO roster.
- Experience coordinating travel, accommodation and workforce logistics.
- Experience maintaining personnel rosters and workforce tracking systems.
- Experience with permit administration and project documentation management.
- Strong organisational and time management skills with the ability to manage multiple priorities.
- Excellent communication and stakeholder engagement skills.
- High attention to detail and accuracy in reporting and record management.
- Proficiency in Microsoft Office Suite, particularly Excel and Word.
