An opportunity has arisen for a Office Manager & Receptionist to join the Property & Travel department.

About the role

The Office Manager and Receptionist is a office based role, responsible for delivering exceptional front-of-house service while ensuring the smooth operation of office and facilities functions. This role combines administrative, operational, and customer service responsibilities to maintain a professional, efficient, and welcoming environment that reflects the com pany’s brand and values.

What you will do

  • Operate the reception area during peak times, ensuring the space is tidy, presentable, and represents the company’s professional image. Ensure that staff, clients, and other visitors feel welcome and receive a professional front-of house experience.

  • Manage visitor bookings through Envoy, ensuring accurate registration and coordinate with meeting hosts.

  • Direct and action intercoms, incoming calls, post and emails, handling inquiries promptly and courteously.

  • Co-ordinate hospitality bookings, ensuring catering requests are approved and confirmed within a timely manner.

  • Maintain security records, issuing and managing ID cards, fobs, and access passes for New Starters, staff, guests and contractors.

  • Support the new starter process, liaise with IT and HR, create ID passes, and facilitate building induction tours.

  • Manage pool car bookings forUnit5, maintenance, and returns in line with company procedures, supporting EV charging logistics.

    Office Operations & Administration

  • Ensure the workplace is well-maintained, organised, and equipped for daily business activity including maintaining appropriate office supplies.

  • Maintain the office layout, desk allocations (via Envoy), and ensure compliance with the clear desk policy. Support office moves and reconfigurations, coordinating logistics and communication.

  • Oversee meeting room bookings, ensuring spaces are kept tidy an stocked for each meeting. Assist in coordinating logistics for internal meetings, events, corporate celebrations and hospitality set up if at Banbury.

  • Build and maintain strong relationships across departments, providing a broad range of administrative and operational support.

  • Provide general administrative support to the Facilities and Procurement teams, including raising purchase requisitions and monitoring maintenance issues

  • Supporting Sodexo with vending, coffee machine maintenance and stock take at Banbury Facility

About you

Essential

  • Proven experience in a front-of-house, reception, or administrative role.

  • Background in office coordination, administration, or facilities support.

  • Competent in Microsoft Office suite and familiar with AV and booking systems.

  • Strong communication and interpersonal skills, with a friendly and professional manner.

  • Highly organised, flexible, and reliable, with excellent time management.

  • Ability to manage multiple priorities and adapt to a dynamic environment. 

    Desirable

  • Experience using digital visitor or desk management platforms (e.g., Envoy)

  • Knowledge or willing to learn health and safety standards (DSE, Fire Marshal, First Aid).

  • Experience coordinating sustainability or multi-site office operations.

    Qualifications

  • Minimum GCSEs (or equivalent) in English and Maths.

  • First Aid and Fire Marshal certification (or willingness to train). Personal Attributes
