About Mt Arthur Coal
Mt Arthur Coal is an open-cut coal mine 100 per cent owned by BHP. Located in the Hunter Valley, New South Wales it's the largest producer of energy coal in the region, operating alongside olive growers, wine makers, horse breeders and the nearby residential community of Muswellbrook.

About the Role
Mt Arthur Coal are currently seeking an experienced and highly motivated Maintenance Administrator to play an integral role in supporting the safe and efficient operations of the Maintenance team.
The position is a full-time Maintenance Administrator role, working Monday to Friday and reporting to the Maintenance Manager. It’s suited to someone proactive, collaborative, and self driven, with a strong customer focus and commitment to quality outcomes. The role involves managing day to day administrative tasks on site to support the Maintenance Leadership team, enabling them to concentrate on higher-level strategic responsibilities.
Key responsibilities:
• Drafting, reviewing, and sending communications on behalf of the Manager
• Collaborating closely with the Maintenance leadership team to produce deliverables such as reports and presentations and identifying opportunities for improvement and time optimisation
• Proactively planning work to ensure the effectiveness of the team, addressing key focus areas, managing preparation, and fostering team/stakeholder engagement
• Managing diaries and emails to facilitate efficient organisation and execution of daily activities
• Preparing agendas, presentations, reports, and coordinating meeting logistics
• Utilising SAP for purchasing (POs/PRs) and expense reconciliation
• Managing travel arrangements including booking, generating itineraries, and providing support
• Stakeholder Management - facilitate communication with site and internal/external stakeholders to ensure seamless operations
• Create toolbox materials, updating documents and maintaining filing of key documentation for the department.
• Demonstrate and inspire an overriding commitment to health, safety & environment through active field leadership
• Back up support to other site Administrators when required
In this role you will:
• Makes evidence based and strategic decision in alignment with business objectives
• Manage meetings, take minutes and assign actions
• Manage team day events
• File, scan and maintain digital and paper records
• Creating communication packages, updating documents and maintaining filing of key documentation for the department
• Creating Purchase requisitions in line with Spend Smart
• Complete weekly/monthly BHP reporting
• Understand the BHP Operating System (BOS)
• Assist in HR team moves
About You
• Previous experience as an Administrator preferably within maintenance, engineering, facilities, or asset management environments
• Certificate III or IV in Business Administration, Office Administration, or related field (or equivalent experience in an administrative support role)
• Capable of working autonomously, establishing priorities, and managing time-sensitive deliverables
• Proficiency with Computerised Maintenance Management Systems e.g., SAP
• High level of computer literacy, including MS Office (Word, Excel, Outlook)
• Strong organisational and time management skills, with the ability to prioritise multiple tasks
• Excellent communication skills—both written and verbal
• Accuracy and attention to detail in data entry, record keeping, and documentation
• Understanding of maintenance workflows, work orders, scheduling, and asset registers
• Knowledge of WHS requirements and safety documentation (permits, inductions, contractor compliance)
• Be safely focused with positive attitude within the workspace
• Team player who can work both independently and effectively with others
• Ability to adapt and embrace change
• Have had exposure to Share Point
• Demonstrate a clear passion for improving the workplace every day
• Ability to manage confidential and people related data and information
• Strong teamwork and stakeholder engagement skills
• Ability to work independently and show initiative
• Problem solving mindset and willingness to support continuous improvement
