Monadelphous is seeking a highly organised and proactive Local Project Administrator to join our Mining & Minerals North-West West Pilbara operations in Tom Price. This role supports our administrative function, looking after our maintenance and project-based works within Tom Price, Paraburdoo and surrounding areas. Based out of our Tom Price facility, you will see yourself working collaboratively with our other site and project administrators, and operations teams to ensure our works are running smoothly from an administration, coordination and payroll perspective. Ideally you are passionate about stakeholder service, take pride in your organisational skills and can foster communication between our site, Perth-based teams as well as key suppliers and clients. This is a fixed term, 12-month opportunity working Monday to Friday with permanency offered to the right candidate.

Key Responsibilities:

  • Procurement Management - Coordinate quoting, purchase orders, receipting, and verification of goods and services.
  • Financial Controls - Support project allocation, cost tracking, and compliance with internal purchasing processes.
  • Asset Maintenance -Oversee LV maintenance schedules, servicing, and statutory requirements for mobile plant.
  • External Hire Management - Arrange and track external equipment hire.
  • Asset Registers -Maintain accurate registers and ensure assets are allocated appropriately across projects.
  • Company owned Property Coordination - Manage room allocations, accommodation bookings, and cleaning schedules.
  • Inventory Tracking - Order and monitor PPE, consumables, tooling, and other operational supplies.
  • Stocktakes - Conduct regular stocktakes and maintain accurate inventory records.
  • Timesheet Administration - Collate weekly hours and prepare payroll submissions.
  • Logistics Assistance - Assist with receiving, dispatching, and coordinating goods in the yard.
  • Inbox Management - Monitor shared inboxes, action requests, and ensure timely communication across teams.

What you’ll bring:

  • Minimum of 2 years experience within administration, preferably within the mining and resources sector
  • Experience with JDE, D365, Pegasus, AMEX, Workflow, PowerBI and other client portals will be advantageous
  • Advanced computer literacy, particularly with the use of the Microsoft Office suite and Excel
  • Excellent time management skills and your flexibility to adapt to changing priorities
  • Ability to work closely with site representatives and workforce management team to offer a seamless mobilisation process to our employees
  • Ability to work under pressure to meet deadlines
